Travelling for work, and booking for a company

Account → Company travel is where a company lives on Kabora: the people who travel for it, the stays booked for it, and its card. It is not a host's business — that is *Switch to hosting*. It is in the Kabora app too, under Account → Company travel; the company card is added on kabora.app.

A company pays by card, like anyone else. There are no invoices.

Setting one up

Anyone can. Open Account → Company travel, type the company's name under *Set up a company for work travel*, and press Set up the company. You become its coordinator: you book for everyone in it, and you invite people.

You can be in more than one company, and set up another from the same page.

Inviting people

Under Invite someone, type the person's email address, choose what they will do, and press Invite:

  • Travel — stays the company books for them show in their trips.
  • Book for everyone — they become a coordinator too. They can book for anyone in the company, invite people, and see every trip.

Kabora emails them a link. An invitation runs out after 14 days, with a reminder before it does; Send again sends a fresh link, and the old one stops working.

Joining

An invitation works only for the address it was sent to. Signed out, the link asks you to sign in. Signed in with a different address, it says the invitation is for someone else. So forwarding an invitation doesn't let anybody else in.

Signed in with the right address, press the button carrying the company's name — Join Acme, for a company called Acme — and you are in.

Who's in, and leaving

A coordinator sees everyone under People, with Invited beside anyone who hasn't joined yet. Remove takes somebody out, Take back withdraws an invitation nobody has accepted, and Turn off stops a member booking for the company or paying with its card until you Turn back on.

Anyone can Leave. A company always keeps at least one coordinator, so the last one can't leave or be removed until somebody else has joined as a coordinator.

Booking for the company

Book from any listing, as usual. In the booking box, tick This trip is for work, then under Book it for choose the company — Just me books it for yourself. Purchase order and Cost centre are there too, and both are optional.

The name and email address on the booking can be yours, or those of the colleague who is travelling. Put a colleague's in and the stay is theirs: it shows in their trips when they sign in with that address, and paying for it is theirs to do on their trip page.

Your receipt, your trip page and your host's copy of the booking all print the same line: "For work", the company's name, then any purchase order and cost centre.

Who sees the company's trips

Coordinators see every stay booked for the company under Trips on the Company page, with who is travelling, the dates and the total. Everyone else sees their own stays, in their trips.

The company card

A coordinator adds it under Company card, with Add a card. Only coordinators can add or remove it.

When somebody in the company pays for a stay booked for the company, their trip page shows the company's card above their own — for a company called Acme, Pay with Acme's card. They see its brand and last four digits, never the full number. It works at any host. People outside the company are never offered it, and the payment checks again before it charges.

A company card also counts as the card you need on your account to book, but only when you book the trip for that company.
