Owner statements and schedules
A statement covers one owner over one period: gross income from their properties, your management fee, any expenses, and the net owed to them. A stay counts in the period it is paid out — the day after check-in — so a stay from 29 August to 4 September is on August's statement.
Running one
Operations → Property Owners → Statements. Pick the owner and the period and Generate. Owners with a portal can run any period themselves, whenever they like, without asking you.
The Log tab lists everything produced, with a Ran by column saying who produced it — a schedule, the owner, or someone on your team. What each owner is owed sits on the same page, with Record the payment once you have paid them.
Formats
- HTML is the statement in the body of the email, readable without opening anything.
- PDF is the version to keep or forward to an accountant.
- CSV is the version a bookkeeper imports.
Pick any combination. Most owners want HTML and PDF; a bookkeeper usually only wants the CSV.
Schedules
A standing order says: send these formats, to these people, on this rhythm. Daily, weekly, or monthly, at an hour in a named timezone — the clock the reader actually lives on, not yours.
An owner can have more than one, because one rule is often wrong for two audiences: the CSV to their bookkeeper on the 1st, the PDF to themselves every Monday. Where two schedules land in the same period, the statement is produced once and both are sent it.
Daily and weekly schedules stay quiet when nothing happened — a house with no checkouts that week does not generate an empty document.
Either side can set one up. Owners write theirs in the portal under Statements → Schedule; you write theirs under Operations → Property Owners → Statements, choosing the owner as you go. Same fields, same result. An owner who never opens the portal should still get their statement every month, and that should not depend on them logging in to ask for it.
